Running a church is fast-paced, demanding, and anything but simple. Church leaders must wear many hats: event planners, people managers, marketing administrators, counselors, CEO’s, and of course, pastors. And of course, they must succeed at these roles on a limited budget, with limited staff and resources.

The downside to the brisk pace of church leadership is that it can lead to stress at best, burnout at worst. In fact, nearly half of all pastors were at risk of burnout in 2023.

While there’s no easy solution to the challenging nature of running a church organization, there are strategies to simplify church management. These methods can cut down unnecessary time spent on administration and communication, creating more space for ministry and creativity. They can even save money and encourage more streamlined budgets.

Here’s a quick guide on how to make the most of these strategies in 2025:

5 Strategies for Simpler Church Management in 2025

Batch your marketing & communications

(Almost) no one goes into ministry to become a marketing expert. Still, in the 21st century, frequent digital communication is the best and most efficient way to inform your church members of upcoming events and news. While email and text will always be the most effective way to connect, these forms of communication still take time and effort to create, plan, and coordinate. Here are three strategies to simplify communication.

  • Batch your email campaigns and mass text messages. Instead of planning, designing, and deploying messages as needed, choose one or two days a month to create all communications for the following month. Using a tool like Tithely can help you schedule communications in advance so you can “set it and forget it.”
  • Don’t be afraid of A.I. ChatGPT or a similar tool can be excellent for writing simple church emails and text messages. You can even train artificial intelligence to mimic your church’s tone and voice, so that over time the messages sound more and more like “you.”
  • Keep your contact lists organized. Connecting with the right people at the right time is half the battle of marketing and communications. To ensure that your messages are targeted, use a contact database to keep names and contact information organized (more details on your contact database below)

Take your giving fully online

Many churches aren’t making the most of their online giving tools, which can significantly streamline finances and even help with budgeting. Here are three ways to make online giving work for you:

  • Train your church members. Some of your church members may not give online because they’re not sure how to do it. When you have an easy-to-use church giving tool, it should require no more than a couple of slides to quickly explain online giving to your congregation.
  • Encourage recurring giving. Recurring giving is a win for everyone. Your church members can automate the task of making a regular donation, and your church receives the added benefit of more consistent and predictable income (ultimately helping with better budgeting). Don’t be shy about encouraging your church members to make their gifts recurring.
  • Monitor trends in giving. Keeping an eye on trends in generosity is easy when your members giving online. Ultimately, this can help you plan your budget better, make better use of your resources, and reduce financial stress. (Of course, this requires your online giving tool to offer a dashboard that makes it easy to track trends).

Keep all your technology in one place

Churches are notorious for having unwieldy tech stacks. In other words, they typically use a lot of different tech tools that aren’t connected. The result? Lots of wasted time on data input and potential errors. For example, when your contact database isn’t connected to your communications tool, you’ll need to manually input contact information to your email lists, sucking time and energy away from more critical tasks (like shepherding your church members!)The best option for churches looking for a more streamlined tech stack is an all-in-one solution for contact storage, communication, online giving, event planning, and more.

Level up your volunteer management

Weekend services largely run on manpower from volunteers–from working the hospitality booth to managing the chaos of kid’s ministry, church members that freely offer their time and energy are vital to most churches. And yet, managing volunteers can be a headache. Recruiting, scheduling, following up, and filling in last-minute absences can become a 40-hour workweek without the right tools and strategies. Volunteer management is never going to be a quick task, but there are ways to make the job significantly easier. Here are three ways to level up how you manage your church members who donate their time:

  • Automate reminders. Volunteers often have full-time jobs, children to raise, and a whole other spectrum of responsibilities that come with 21st-century living. They need reminders for their scheduled obligations! Use a system that automates reminders so that everyone stays organized (and everyone shows up).
  • Streamline kids check-in. Depending on the demographics of your church, children’s ministry may require the most volunteers. A simple-but-effective children’s check-in tool can help make the largest part of your volunteer ministry easier (and safer).
  • Build a culture of volunteering. Recruiting more volunteers is infinitely easier when you create a volunteer culture of enthusiasm and community. Make volunteering fun, and your church members will want to give their time and energy to your weekend services.

Organize your database

What is your church without its people? Your contact database should be a clear, accurate, and detailed reflection of church members, occasional attenders, and even one-time guests and visitors. That requires tagging contacts with details like volunteer positions, giving details, and family relationships, and updating contacts with member statuses. Though sifting through your database will initially require a lot of time and effort, the payoff is significant. An organized database not only gives you a clear overview of who your people are, it also allows you to reach church members with tailored communications (i.e. connecting with large donors or reaching out to lapsed attenders). Ultimately this can remove the guesswork from managing your people, and help you become more effective at ministry and connection.

All of our database needs have been more than met, it's easier to use than the last database we had, and the price is amazing - what a value this has been to our church! All of our staff can use this software and they do regularly. We use it to track…literally anything a church could possibly need to track regarding it's attenders.

Breeze has been a great asset to our church and congregation. Especially from an administrative standpoint, it has been the most adaptable and easiest church database I have ever used. The features from blast emails to giving on-line, and texting have been one of our greatest assets. Thank you!

We switched from a major, web-based ChMS to Breeze and our decision is confirmed every day. We are a medium size church and we use Breeze for contributions, member management, event checkin and a few other applications custom to our church. I had trouble getting any staff to use our previous ChMS but almost all staff are using Breeze. The product is very well designed, extremely easy to learn and use and customer service is incredible.

Breeze has opened the communication highway for our congregation and staff, with very little training. Because members can update their own records and search easily for other members - and map their locations, send emails and text right from Breeze, they love it and our data is more real-time accurate. Our ministries are stronger, because they can trust the data in Breeze, which is easily accessed anywhere, anytime.

Breeze is the first ChMS my volunteers have actually embraced. That's because it's so easy to use. The software is very flexible and gives us the opportunity to make decisions based on actual data we've collected and not just hunches or stories we believe to be true.

I cannot say enough about Breeze. Their customer service is so friendly, you feel like you have friends and family helping you get started, they're prompt to reply and will do whatever they can to help you get things sorted out. It's been so easy to learn, our staff is loving it and best of all even our staff who are not computer savvy find it a breeze (pun intended). We are just thrilled by our choice.
