For example, let’s pretend you’re planning a youth retreat for a small group of teens who have grown up in your church. Take time to consider their specific needs and how you can contribute to their spiritual growth, and set goals accordingly. 

From here, you can begin planning services and building the framework of your event. Choose an appropriate venue, invite engaging speakers, and plan relevant activities like worship sessions and team-building exercises. Last but not least, you’ll need to advertise! Use social media, email newsletters, and church announcements to reach your audience.

Now that we’ve covered an overview of the basics, here are ten tips for planning services and special events.

1. Pray Continuously

This tip may go without saying, but it’s important to keep the main thing the main thing! No matter how much strategy, energy, or preparation you put into planning services or church event management, you should always be laying down your plans at the feet of Jesus in prayer. If He asked you to pivot your plans, would you have given space to hear Him? Make sure to pray before, during, and after your service so you can ensure that your heart is in the right place to respond to the prompting of the Holy Spirit! 

2. Encourage Collaboration

Collaboration is the bread and butter of event planning. Whether you’re planning a special Easter service or putting together ideas for a typical Sunday, your team members are invaluable sources of experience and input. Additionally, promoting teamwork strengthens bonds among team members and helps people take ownership of the event outcome!

3. Delegate Responsibilities

I can’t say it enough: don’t try to do everything yourself! Assign specific roles to team members, and trust them to handle their tasks. This not only eases your burden but also empowers others to take ownership of the event's success. Volunteers and young leaders want to be entrusted with responsibility. Church planning services can become a team effort, making the journey more enjoyable for everyone involved!

4. Plan Ahead 

As the saying goes, "Fail to plan, plan to fail!" Effective church event management depends on your ability to look ahead and anticipate needs. Start planning early to ensure that you have enough time to adjust as circumstances change. This also gives you a buffer to deal with any unexpected issues that might arise, ensuring that your event runs as smoothly as possible.

5. Use Technology to Your Advantage 

I’m all about a whiteboard brainstorming session and using an old-fashioned paper planner, but I’m also a big believer in using modern technology to get a job done! Clear and consistent communication is key to successful event planning. Keep everyone in the loop with regular updates and meetings. What will be playing when your guests arrive at the service or event? What will be playing as they mingle in the lobby or exit the sanctuary? Music greatly influences people’s moods (whether they are consciously aware of it or not), so choose wisely!

After the event, don’t forget to gather feedback from participants and team members. This can provide valuable insights into what worked well and what could be improved for future events. It's also a great way to engage with your community and show that their opinions matter.

9. Celebrate Successes 

As your event comes to a close, take time to celebrate both the small and big wins. Was turnout better than expected? Did you meet all your planning deadlines? Did the volunteers go above and beyond to make the event or service a success? Make sure to shout out your team for all the hard work they have put in! A little appreciation goes a long way in maintaining a motivated and enthusiastic team.

Some of my favorite church event memories were the moments when we had to pivot because things “went wrong.” We embraced flexibility and allowed the Holy Spirit to guide us in a new direction, and everything worked out in the end! These moments also taught us that it wasn’t our perfection that pointed people to Jesus – it was our willingness to invest in what God was already doing!
