Let’s talk about one of my favorite church communication topics: email marketing!

Email marketing might not be as glamorous as TikTok or as popular as Instagram, but it's one of the most powerful digital tools we have for communicating ideas with a large group of people!

And while the ideas of "marketing" and "church" may seem incompatible at first, that's only because it can be easy to lump marketing with sales. (Importantly, they are not the same thing!) First and foremost, marketing for churches is about clear and effective communication that invites participation. It's about influencing people positively—cutting through the noise of companies selling them products and pointing them to Jesus (and a community of believers who will love and care for them)!

If you haven’t tapped into the full potential of email marketing for churches, these top tips and best practices will help make your emails a highlight of everyone’s inbox!

Digital Marketing for Churches Starts with a Strong Email Presence

When individuals provide you with their email addresses, they are expressing a desire to hear from you! They are inviting you into their personal digital space, allowing for direct communication. Unlike social media, where engagement is optional, email marketing ensures your message reaches them directly. This is one of the many reasons why email marketing for churches and ministries can be so incredibly effective!

Email marketing allows you to share important updates, event announcements, and pastoral messages directly to your members' inboxes. With the right approach, this form of digital marketing can strengthen your community and keep everyone informed and connected.

Top Tips for Effective Email Marketing

Curious how to effectively implement email marketing for churches? These simple tips will help you optimize your email marketing strategy, ensuring your emails reach more inboxes and achieve higher open rates and click-through rates.

Build a Quality Email List

Marketing for churches and ministries should start with a comprehensive email list. Each time you gather, encourage church members and visitors to sign up for communication. Whether it is a QR code floating on the screen during announcements or a simple sign-up sheet at the entrance, make sure to make it easy for them to sign up!

Create Engaging Content

Content is king when it comes to digital marketing for churches. Your emails should be informative, inspirational, and engaging, and you should avoid making your emails centered only around announcements. Share stories of transformation, sermon snippets, volunteer opportunities, and ways people can get involved. Always include a personal touch to make your emails feel warm and welcoming.

Segment Your Audiences

Not every message is relevant to every member of your congregation. Hosting a women’s conference? Send a targeted email to the women in your congregation! Need youth volunteers? Pull a list of people who’ve volunteered in the past. By segmenting your email list based on demographics, interests, and involvement levels, you can improve your open rate and generate more interest in particular church programs.

Use Compelling Subject Lines

The subject line is the first thing recipients see, so make it count. A compelling subject line can significantly increase your open rates. Keep it short, relevant, and intriguing to encourage your audience to open the email. If you live in an area with particularly harsh winters, for example, you can use a subject line like: “Cold? We’re serving free hot chocolate at church tomorrow!”

Optimize for Mobile

Many people - actually, most people - check their emails on their mobile devices. Ensure your emails are mobile-friendly by using a responsive design. This ensures your content looks great and is easy to read on any device. We learned this the hard way when our beautifully designed email looked cluttered on mobile; optimizing it made a big difference.

Include Clear Call-to-Actions

Every email should have a clear purpose. Whether it's inviting people to an event, asking for volunteers, or encouraging donations, make sure your call-to-action is easy to find and follow. For example, in one campaign, we included a prominent "RSVP Now" button for an upcoming event, which significantly boosted our attendance.

Utilize Visuals

While simple text emails get the job done, images and graphics can help make your email more fun and engaging! Use images, infographics, and videos to make your emails visually appealing and engaging. Visual content can help convey your message more effectively and keep your readers interested.

Test and Refine

A/B testing different elements of your emails (like subject lines, content, and call-to-actions) can provide insights into what works best. Use these insights to continuously refine your email marketing strategy. My church recently tested two different event invitation designs, for example, and we found that one led to 30% more sign-ups!

Best Practices for Email Marketing

Marketing for churches doesn’t have to be complicated! Follow these best practices to enhance your email marketing efforts, ensuring your emails are effective, engaging, and compliant with industry standards.

Consistency is Key

Regular communication is essential in email marketing for churches. Create a schedule and stick to it, whether it's a weekly newsletter, a monthly update, or event-specific emails. Consistency builds trust and keeps your audience engaged. Our church found that a weekly email with highlights from Sunday services kept our community connected throughout the week.

Personalize Your Emails

Personalization can make a significant difference in how your emails are received. Use recipients' names and tailor the content to their interests and involvement. Personalized emails show that you value and recognize each member of your congregation. For instance, addressing recipients by name in the subject line and body of the email improved our engagement rates.

Track and Analyze Your Results

Digital marketing for churches should be data-driven. Use email marketing tools to track open rates, click-through rates, and other key metrics. Analyzing this data helps you understand what's working and where you can improve. We once discovered that emails sent on Tuesday mornings had the highest open rates, which helped us adjust our sending schedule.

Encourage Feedback

Invite your audience to provide feedback on your emails. This can be through surveys, direct responses, or feedback forms. Understanding their preferences and interests will help you refine your email marketing strategy and better serve your congregation. After one campaign, we sent out a quick survey and received valuable insights that shaped our future communications.

Maintain Clean Email Lists

Regularly clean your email lists by removing inactive subscribers and updating contact information. This helps improve your deliverability rates and ensures that your messages reach engaged recipients. For example, we noticed a drop in engagement and found that cleaning our list boosted our open rates.

Follow Legal Guidelines

Make sure your email marketing practices comply with legal regulations such as CAN-SPAM or GDPR. This includes providing a clear option for recipients to unsubscribe and respecting their privacy. Our church ensures every email includes an easy opt-out option to stay compliant and build trust.

Integrate with Social Media

Promote your email content on your social media channels to reach a broader audience. Encourage your followers to subscribe to your emails for exclusive updates and content. We once ran a social media campaign inviting followers to join our email list for behind-the-scenes church updates, which significantly grew our subscriber base.

Celebrate Successes and Milestones

Use your emails to celebrate church milestones, member achievements, and community successes. Highlighting these moments can foster a sense of community and shared joy. For example, we celebrated our church's anniversary with a special email that included highlights from the past year, which was very well received.

All of our database needs have been more than met, it's easier to use than the last database we had, and the price is amazing - what a value this has been to our church! All of our staff can use this software and they do regularly. We use it to track…literally anything a church could possibly need to track regarding it's attenders.

We switched from a major, web-based ChMS to Breeze and our decision is confirmed every day. We are a medium size church and we use Breeze for contributions, member management, event checkin and a few other applications custom to our church. I had trouble getting any staff to use our previous ChMS but almost all staff are using Breeze. The product is very well designed, extremely easy to learn and use and customer service is incredible.

Breeze has opened the communication highway for our congregation and staff, with very little training. Because members can update their own records and search easily for other members - and map their locations, send emails and text right from Breeze, they love it and our data is more real-time accurate. Our ministries are stronger, because they can trust the data in Breeze, which is easily accessed anywhere, anytime.

Breeze is the first ChMS my volunteers have actually embraced. That's because it's so easy to use. The software is very flexible and gives us the opportunity to make decisions based on actual data we've collected and not just hunches or stories we believe to be true.

I cannot say enough about Breeze. Their customer service is so friendly, you feel like you have friends and family helping you get started, they're prompt to reply and will do whatever they can to help you get things sorted out. It's been so easy to learn, our staff is loving it and best of all even our staff who are not computer savvy find it a breeze (pun intended). We are just thrilled by our choice.
